Job Description
Heritage Christian Online School (HCOS) is a thriving online learning community offering K-12 home and online education to students across the province. HCOS provides flexible solutions and programming tailored to every child’s learning journey.
The Position
HCOS has an opening for a Registrar’s Office Assistant. This is a full-time, onsite position, working 40 hours per week. The primary purpose of this position is to work alongside the Registrar, to support new student intake by completing student records and answering front-line phone, Live Chat, and BC Online School (BCOS) cross-enrollment enquiries.
Duties and Responsibilities:
Prepare and send record requests for newly accepted students.
Ensure every student has a Personal Education Number (PEN) by applying to the Ministry for existing PENs and new ones as required.
Ensure that every student has proper documentation on file and request missing documents.
Assist with phone calls, live chats, and intakes as required.
Assist with reviewing new student applications.
Communicate internally with other departments regarding incoming and outgoing students.
Assist with other related duties, as assigned by the Registrar.
Job Requirements
Qualifications and Skills:
Demonstrates a commitment to, and a lifestyle reflective of, the KCCS Foundational Beliefs.
Willing to learn a large volume of information and be able to provide quick answers by phone, Live Chat and email (“think on your feet”).
At least two (2) years’ experience in an office environment.
Must be comfortable answering the phone via Zoom, often in a busy environment.
Must be comfortable responding to Live Chat questions.
Proficiency in Google Drive, Microsoft Office, Outlook, Acrobat Pro, Zoom, etc.
Excellent written and oral communication, problem-solving and organizational skills.
Attention to detail is an absolute necessity.
Willing to learn new systems and assist other departments as required.
Ability to prioritize tasks effectively, to work independently as well as a team to achieve objectives.
Proven ability to handle confidential or sensitive information in a discreet manner.
