Job Description

Pacific Academy is seeking applications from qualified individuals for a full-time administrative assistant/receptionist position in the High School. This position begins immediately and is a ten-month position from September through June.

Main Duties:

Office Management & Operations:

  • Forward questions and requests to the appropriate school personnel;

  • Receive, sort and distribute incoming mail and deliveries;

  • Prepare orders for general office and teaching supplies;

  • Competent in general computer skills and be knowledgeable in the use of Google Suite;

  • Record, reconcile, and report attendance;

  • Maintain student files using a student information system (PCR);

  • Assist Health & Safety Committee for staff incident reporting and filing;

  • Maintain office machines and call for servicing when necessary;

  • Create and monitor ReadySub jobs for absent teachers;

  • Reconcile HS visas and maintain petty cash;

  • Maintain HS calendar by coordinating schedules, appointments and bookings;

  • Assist in emergency response procedures and coordination/completion of drills;

  • Maintain first aid kit and medical room;

  • Respond to injuries by administering minor first aid or coordinating with first aid;

  • Assist with field trip requests, calendar, and transportation for external activities;

  • Maintain records for bus logs.

  • Complete other duties as assigned by the principal, vice-principal, registrar, or head of school;

Security:

  • Sign out visitor passes as needed, following set guidelines for distribution.

  • Front door surveillance and access control.

Financial/Accounting:

  • Prepare purchase orders, cheque requisitions and maintain credit card receipts; and adhere to finance guidelines for accurate and timely submission of paperwork.

  • Reconciliation of High School Visas

  • Purchasing of Program/Course Supplies such as for the Summit Program and Robotics.

  • Maintain petty cash.

  • Demonstrate excellent written and verbal communication skills

  • Possess outstanding organizational skills

  • Be willing to work in a team environment as well as independently.

  • Possess exceptional interpersonal skills and communicate effectively with students, staff, parents, and community members.

  • Demonstrate general computer skills including MS Office Suite (Outlook, Word, PowerPoint, and Excel) and Google Suite (Gmail, Docs, Sheets, Classroom, etc.).

  • Demonstrate the highest standards of confidentiality.

  • Possess the ability to multi-task, have strong organizational skills, be flexible, and detail-oriented.

  • Be fluent in oral and written English
