Job Description
Pacific Academy is inviting applications from qualified individuals for the position of Director of Auxiliary Programs. This is a full-time, year-round salaried position with a comprehensive benefits package. This position is to cover the maternity leave beginning November 1, 2025.
The Director of Auxiliary Programs is responsible for planning, coordinating, implementing PA’s before and after-school care as well as leading the development and implementation of our international programs to focus on developing students’ spiritual growth and sense of belonging.
As part of their responsibilities, the Director of Auxiliary Programs will work with staff, students, parents and homestay families to assist all students in reaching their potential. Auxiliary programs include, but are not limited to:
• Before and After School Care for Pacific Academy Students;
• Extracurricular After School programs including (but not limited to) sports, dance, music, science and academics;
• Holiday Camps;
• International Programs (short term and year-round).
Key Responsibilities:
Program Management
• Manage the programs to ensure a safe and secure environment.
• Directly supervise children when necessary.
• Establish routines, provide positive guidance, and enforce policies and procedures in accordance with the School’s policies and practices. This includes compliance with all government regulations.
Human Resources
• Responsible for the training of auxiliary program employees.
Administration
• Coordinate and organize registration for auxiliary programs (class rosters, processing of forms and confirmation letters, parent communication, etc.).
• Monitor revenues and expenses and manage programs in accordance with budgetary restrictions.
• Maintain the auxiliary program database.
• Prepare reports for and communicate with administration to keep them abreast of program changes and issues.
• Execute and oversee contracts related to programs.
• Order and provide snacks in accordance with the rules and regulations of licensing and governing entities.
• Oversee International admissions processes.
• Coordinate the planning and implementation of activities as it relates to PA’s International program.
Program Development
• Update communication materials.
• Plan and coordinate the publishing and advertising of program catalogues, brochures, schedules and/or handouts.
• Coordinate with the HS Learning Support team, HS Principal, and Auxiliary Programs Assistant to manage continuity of the International Program as a whole.
• Recruit and oversee homestay arrangements.
• Organize Summer School for long-term students in collaboration with HS Administration, if new student enrollment requires it .
International Student Support and Engagement:
• Interview and assess potential students.
• Organize re-enrollment of returning students
Other
• Maintain any records consistent with legal and ethical guidelines, including but not limited to Independent School Act, PIPA, BCACC, etc.
• Perform other duties as assigned by the Head of School.
Job Requirements
Support a Pentecostal/Charismatic statement of faith and participate in a local church; the successful candidate will be required to provide a pastoral reference and annually sign the Pacific Academy Statement of Faith and Code of Conduct.
Know, understand and live out PA’s statement of beliefs, mission, vision, and core values.
Possess a proven track record of designing and implementing auxiliary programs, including administrative systems in a school or recreation setting.
Possess the training, leadership skills and abilities needed to coordinate the auxiliary programs.
Be experienced in working with school age children.
Demonstrate excellent written and verbal English communication skills.
Possess the necessary IT skills to fulfill job requirements.
Possess a valid Emergency First Aid certificate, with “Level C” CPR.
Successfully complete the Responsible Adult Course or equivalent.
Submit to a Criminal Record Check.
Minimum Bachelor’s degree, preferred.
